Mass printing production report: how to reconcile records, envelopes and waste
A message that a batch was printed does not prove that every record became the correct document and reached exactly one envelope. A production report closes that gap and makes differences explainable.

Start with the input balance
The input file needs a batch ID, version, handover date and active-record count. Record pre-production rejects, duplicates and client holds separately so the result is not compared with an obsolete file.
Separate records, documents and sheets
One record may create several documents and one document may have many pages. The report should therefore show records, documents, logical pages and physical sheets after simplex or duplex rules.
Reconcile envelopes with the inserter result
After inserting, compare correctly sealed envelopes with records released for dispatch. Exceptions such as an empty set, double feed or machine stop need an ID, a decision and a repeated check.
Record rejects, waste and reprints
Setup sheets, samples, process waste and reprints must not disappear into one total. Report their cause and effect on paper and envelope balances without exposing unnecessary personal data.
Separate production from handover
Produced envelopes are not yet items accepted by the postal operator. Link the production report and dispatch document with the same batch ID and explain differences before closure.
Close the batch with one report
A useful report shows input, output, exceptions, corrections, approval and completion time. BackOffice Outsourcing can handle data preparation, printing, personalisation, inserting and dispatch, while giving the client a clear result and status.
FAQ
Should the record count equal the envelope count?
Usually yes for one-record-one-envelope jobs, but the rule must account for consolidated, rejected and held items.
How should a reprint be recorded?
Give it a reason and ID, link it to the original record and confirm that only the correct version enters dispatch.
Does the production report replace the dispatch document?
No. The report proves batch completion; the dispatch document proves handover to the operator.
What should the client receive?
An agreed count report, a secure exception summary, dispatch status and the agreed e-COK or document handover.
