Three workflows, one clear record
Penalty notice mailing
The issuing institution supplies notice content and recipient data or ready documents. Following its instructions, we prepare batches, print and insert items where required, dispatch them and provide agreed posting records and evidence.
Ticket returns
We receive ticket return requests and supporting documents through the agreed channels. We record receipt dates, ticket identifiers and statuses, check document completeness against the client’s instructions, and route each case for review. The organisation responsible for the ticket decides whether a return is approved and how any payment is handled.
Complaints and undelivered mail
We register returned mail and complaint requests, match them to posting, ticket or case references, and organise the supporting documents. Within the agreed scope, we submit postal claims to the operator, track replies and report exceptions to the client.
Authorities and paper notices in Europe
Official names and examples of written traffic or parking notices. This is not an exhaustive list: the competent authority and delivery channel depend on the country, case and recipient. Listing an authority does not imply a relationship with BackOffice Outsourcing.
Landespolizeidirektionen and the competent Verwaltungsstrafbehörden
For road traffic offences, an anonymous penalty notice is generally sent to the registered keeper. The authority depends on the location and case.

Handover

Returned mail and claims
Match an undelivered item to its posting record, note an available return reason and pass the exception to the designated team. Submit and monitor postal claims where agreed.

Summarise volumes, statuses, evidence and cases needing decisions. Agree how results and records are returned to the client.
