Window envelopes in bulk mailing: how to control address positioning

An address may look correct in the file and still move outside the window after folding, or reveal information that should remain hidden. Address positioning therefore has to be checked on the finished envelope, not only on screen.

Quality control of address positioning in a window envelope before mass printing

Start with the actual envelope and fold

Check the document template with the exact envelope format, window dimensions, paper and folding setup. A PDF preview cannot show the insert clearance or how the sheet settles after envelope insertion. Record the approved envelope and document variant as one production configuration.

Define a safe address area

Poczta Polska places the addressee area in the lower-right section, at least 40 mm from the top and 15 mm from the right and bottom edges, while the lower coding zone remains clear. For window envelopes, combine those rules with the window position and the requirements of the selected postal operator.

Test movement inside the envelope

Move the sample in every direction allowed by the envelope. The full address must remain legible and the window must not reveal letter text, case numbers, amounts or another person's data. UPU guidance recommends folding the contents so the complete address remains visible even when the insert moves.

Test the hardest records, not only the first

Include the longest company name, multi-line addresses, unit numbers, diacritics and an international address. Check records from the beginning, middle and end of the generated file. This tests real data variation rather than the easiest example.

Approve a printed and folded proof

Before the full run, print on the target device, fold the sheet and place it in the selected envelope. Verify legibility, the safety margin, the recipient-to-document match and that no additional data is visible. Record the result and template version in the batch file.

Recheck after every setup change

Repeat the proof after changing the file, paper, fold, envelope or after restarting production. Take samples from successive parts of the run. Quarantine exceptions, record the cause and route them through a controlled reprint instead of making an untracked manual correction.

Limit what is visible through the window

Only information needed for delivery should be visible. GDPR data minimisation supports keeping customer numbers, balances, case descriptions and other unnecessary identifiers outside the window area. Privacy control belongs in template approval, not only in complaint handling.

BackOffice Outsourcing can handle the complete workflow

BackOffice Outsourcing can combine data preparation, personalisation, printing, folding, envelope insertion, sample control and batch reconciliation in one process. The client receives an agreed control method and completion report without coordinating separate suppliers.

FAQ

Is checking the address in the PDF enough?

No. Check the printed sheet after folding and insertion into the target envelope because the paper can move behind the window.

Which records should be used for the proof?

Use extreme and unusual records: long names, many address lines, unit numbers, diacritics and international destinations.

When should the proof be repeated?

After changing the data, template, envelope, paper, printer or folding settings, and after restarting an interrupted run.

What may be visible through the window?

Only information needed to identify and deliver to the recipient. Additional identifiers and document content should remain covered.
