Supplier credit notes in Accounts Payable: linking them to the original invoice

A document reducing a liability should not be posted as an isolated negative amount. First establish what it corrects, why it was issued and how it affects the open invoice, purchase order and payment.

Accounts Payable specialists compare a supplier credit note with the original invoice

The labels corrective invoice, credit note, credit memo and debit memo are used differently across countries and systems. For Accounts Payable, the essential questions are whether the document reduces the supplier liability, which invoice it concerns and how it should be settled. This model supports control in the client process; it does not replace local tax law, accounting policy or an authorised decision.

1. Identify the document type and sign first

Oracle distinguishes standard invoices, credit memos and debit memos. A credit memo is a supplier document providing credit for goods or services, while the operational meaning of a debit memo depends on process configuration. A negative amount alone does not classify the document correctly.

Record the source-document type, impact on the liability, currency and supplier. Also check whether it duplicates a correction already posted and whether its number has been mistaken for a new invoice.

2. Link the correction to the original invoice and reason

Microsoft describes creating a vendor credit note and using credit invoicing to link it with the original supplier invoice. The reason for correction and original-invoice reference are recorded. That relationship supports reporting and reconstructing the event history.

Control the original invoice number and date, PO, reason, business owner and evidence. If one credit note covers several invoices, allocate the amount to specific documents instead of leaving a general comment.

3. Verify amount, quantity, price, tax and currency

A correction may concern a full return, part quantity, unit price, discount or tax. SAP’s supplier credit memo procedure calls for checking amount, quantity and tax code and simulating the document before posting.

Reproduce the calculation by line: original value, correction scope, tax, final value and any exchange-rate effect. Header and line signs must follow system configuration; manually reversing signs without a test can double the impact.

4. Preserve the correct accounting distribution and PO link

Oracle describes matching a credit or debit memo to an invoice, invoice distribution or PO shipment. The system can copy the original accounting distribution, prorate the credit and update invoiced quantities and PO values. A price correction need not change quantity.

If one of several items was returned, the credit should reach the correct account, cost centre, project and PO line rather than being spread across the whole document without justification. For non-PO invoices, compare the distribution with the original and obtain cost-owner approval for changes.

5. Check payment status and settlement method

A credit against an open invoice differs from one against a paid invoice. Before payment, it may reduce the amount due. After payment, it may create a supplier balance, offset against future invoices or a refund under the agreed procedure.

Do not automatically deduct the credit from an arbitrary payment. Confirm the settled document, date, currency, discount, payment status and approval for offsetting. The audit trail should show who linked the items and what balance remains open.

6. Checklist before posting and settlement

Verify document type, supplier, currency, original invoice, reason, PO or contract, quantity, price, tax, accounting distribution, approval, payment status and proposed settlement. Then run a simulation or independent review.

A sound process does not stop after posting a negative amount. It leaves a clear chain from the original invoice through the credit to the supplier balance and payment. That reduces duplicate credits, wrong costs, open balances and supplier disputes.

Sources and scope

Microsoft, Oracle and SAP documentation was checked on 29 October 2026. Features depend on product, country and configuration. The proposed checklist is an editorial model to agree with the process owner. This guide is not tax advice or authorisation to post or offset.

FAQ

Is every negative invoice a credit note?

No. Identify the document type, source and effect in the relevant system and country.

Must a credit note reference the original invoice?

The link is essential for control and may also be legally required in some countries.

What if the original invoice has already been paid?

Determine the supplier balance and approved settlement: offset, use against a later payment or refund.

Does a price credit change PO quantity?

Not always. A price correction can change value without changing quantity; use the correct match type.
