How to name business mail print files to avoid mistakes
A consistent file name makes a print batch easier to hand over. See how to combine a date, job identifier, document type and version.

Why “final_revised” is not enough
When several people prepare mailing documents, names such as “final”, “final2” or “last” do not show which file was approved. Agree on a shared convention before handing over the first batch. A name helps identify material, but does not replace content checks or approval for production.
A simple naming convention
A useful starting point is a year-month-day date, job identifier, document type and version number. For example: 2026-10-02_ZL1042_letter_v03.pdf. Decide whether the date means preparation or planned dispatch, and apply that rule throughout the company. Keep names short and readable.
Separate documents, addresses and enclosures
Use the same identifier for one batch and describe its components separately: letter, addresses, enclosure. Do not change the identifier between files. If the batch includes different variants, add an agreed variant code. Documents and addresses still require matching identifiers in their data: similar file names do not guarantee that records match.
A version and an approval are different things
Give each content revision a new version number. Record separately who approved the specific file, when, and what the approval covered. Keep working files outside the production handover folder. If a correction arrives after handover, agree on holding or replacing the material rather than assuming the provider will notice the new file.
Check the limits of your chosen tool
Do not put every job detail into the file name. Microsoft documents character and path-length restrictions for OneDrive and SharePoint. Check the requirements of your transfer channel before handing over files. Short identifiers are preferable to recipient names and full addresses in production file names.
Include a short file list
Include a list of file names, versions and purposes, identifying the approved set. This summary helps both parties reconstruct their agreement. Want to organise correspondence printing and envelope inserting? Tell us how you currently hand over material, and we can agree on a clear procedure for your jobs.
