Bulk mailing checklist: 7 checks before dispatch

The final check should connect source data, documents and physical mail items. These seven checks help identify discrepancies before dispatch.

Bulk mailing checklist: 7 checks before dispatch

Bulk mailing involves more than printing and sealing envelopes. The correct document must reach the correct recipient, exceptions need decisions, and the completed work needs a traceable record. Check these elements before handing items to the carrier, while corrections can still be made without a second dispatch.

Use this checklist for invoices, customer notices and administrative correspondence. Adapt it to the documents and agreed procedure. It does not replace the instructions of a particular carrier.

1. Confirm file versions and production approval

Identify the final address list and document set. Record the batch identifier, preparation date and approver. Give subsequent corrections a new version instead of silently replacing a file. Specify whether approval covers the data, the content or both.

2. Check addresses and duplicate records

Look for empty fields, repeated records, truncated names and incomplete addresses. Repeated addresses are not automatically errors: several cases may concern one company. Agree how duplicates are identified and separate records awaiting a decision from production-ready data.

3. Match documents to recipients

Every mail item needs an unambiguous link to its source record. Check identifiers, page counts and required enclosures. Do not rely solely on the order of records in two independent files. Define the document variants in the batch and how their completeness is checked.

4. Check the envelope and address position

Make a physical sample using the selected paper, actual page count and chosen envelope. The address should remain readable after folding and movement of the insert. Check closure, orientation and print position. For window envelopes include the shortest and thickest document variants.

5. Approve a representative sample

Include long recipient names, multiple pages, enclosures and different mail services. Record the result and the decision to release production. Choose sample size and additional controls according to volume and process risk; no single number suits every batch.

6. Reconcile control totals and exceptions

Compare input records with completed items, rejected records and items on hold. For example: 500 records = 492 completed items + 5 incomplete addresses + 3 documents awaiting a decision. Give every exception a reason, owner and next step.

7. Agree dispatch evidence and return handling

Define the report before dispatch: batch identifier, date, item count, carrier and available tracking numbers or posting evidence. Agree who records returns and how each return links to the original case. Evidence depends on the service and carrier selected.

A concise batch control sheet

  • Batch identifier and file versions.
  • Approver and sample check result.
  • Input, completed, held and rejected counts.
  • Document completeness and envelope check.
  • Exception list with assigned owners.
  • Dispatch deadline and report location.

This sheet supports handover between the customer, production and dispatch teams. It also records what was approved and why some records were handled differently.

Frequently asked questions

Is checking the first envelope enough?

The sample should cover the document and mail variants in the batch. Set the scope according to process risk.

What should happen to an incomplete address?

Hold the record, record the reason and request a decision from the responsible person. Do not invent missing address information.
